This role ensures effective communication between teams, organizes meetings and training sessions, and manages project documentation and reporting. Additionally, the Project Coordinator monitors budgets, liaises with vendors, and maintains a structured repository of templates and deliverables to keep the project on track.

MAJOR DUTIES/ RESPONSIBILITIES:
- Support ERP Program and Project Managers in tracking milestones, deliverables, dependencies, and ensuring alignment with PMO standards and methodologies.
- Maintain centralized documentation repositories (SharePoint, Jira, Teams) and update project artifacts including schedules, RAID logs (Risks, Actions, Issues, Decisions), status reports, change requests, lessons learned, and stakeholder registers.
- Ensure version control and proper naming conventions for all project documents.
- Schedule and coordinate cross-functional meetings, workshops, and training sessions; prepare agendas, take minutes, and track action items to closure.
- Maintain and update the integrated project plan and calendar; monitor task completion across workstreams and follow up on outstanding actions.
- Facilitate communication between functional teams, vendors, and stakeholders; act as the day-to-day contact for project inquiries and escalate issues as needed.
- Prepare weekly and bi-weekly project status updates, dashboards, and reports; consolidate updates from all ERP workstreams into accurate reporting formats.
- Track progress against key milestones and deliverables, highlighting variances and risks; assist in creating executive-level presentations for Steering Committee and leadership reviews.
- Support risk and issue tracking, ensuring timely escalation and resolution; maintain a risk log and assist in analyzing trends and variances to identify potential risks or areas for improvement.
- Assist with resource allocation, forecasting, and capacity planning across ERP initiatives; coordinate updates to the ERP program roadmap in collaboration with PMO.
- Coordinate Organizational Change Management activities, including communication campaigns, training schedules, stakeholder engagement, and adoption metrics; maintain a repository of communication artifacts and engagement materials.
- Draft and distribute project communications, change notices, and stakeholder updates as directed by Project Managers.
- Ensure consistent application of PMO standards, tools, and templates across all ERP project activities; provide guidance and training to project teams on PMO-approved processes and tools.
- Collaborate with PMO to gather feedback and recommend enhancements to templates and methodologies; participate in testing and deployment of improved PMO processes.
- Support the use of project management tools such as MS Project, JIRA, Smartsheet, SharePoint, and Teams; participate in PMO-led workshops and training sessions to stay current on best practices.
REQUIREMENTS:
- College diploma in Business Administration, Engineering, Information Technology, or a related field.
- PMP, CAPM, or equivalent project management certification preferred; willingness to pursue certification required.
- Minimum 3 years of experience supporting ERP projects (SAP, Oracle, Microsoft Dynamics, etc.).
- Experience in project coordination and using collaboration tools.
- Understanding of project lifecycle management, change management, and PMO standards (asset).
- Proficiency in MS Office suite with advanced Excel skills for reporting and data analysis.
- Experience with project management tools such as MS Project, Smartsheet, JIRA, SharePoint, Teams, and Power BI.
- Ability to learn and support evolving PMO tools and technologies, including scheduling and portfolio management systems.
- Valid Ontario G Driver’s License is considered an asset.
- Strong organizational and time-management skills; ability to manage multiple priorities and deadlines.
- Excellent communication skills to convey information clearly and maintain transparency with diverse stakeholders.
- Problem-solving skills to identify issues and propose practical solutions.
- High attention to detail ensuring accuracy in reports, templates, and communications.
- Collaborative team player with ability to build trust and rapport during change initiatives.
