ACCOUNTABILITY STATEMENT:
The Supervisor of Maintenance Planning plays a vital role in managing and enhancing maintenance planning and scheduling processes to support Enterprise Asset Management (EAM), contributing to the overall operational efficiency of the organization. This role leads and oversees the planning and scheduling team, ensuring effective prioritization, resource allocation, and execution of maintenance activities. The Supervisor works closely with operations, maintenance teams, and stakeholders to drive asset reliability, minimize downtime, and improve overall equipment effectiveness (OEE).

The Supervisor of Maintenance Planning plays a vital role in managing and enhancing maintenance planning and scheduling processes to support Enterprise Asset Management (EAM), contributing to the overall operational efficiency of the organization. This role leads and oversees the planning and scheduling team, ensuring effective prioritization, resource allocation, and execution of maintenance activities. The Supervisor works closely with operations, maintenance teams, and stakeholders to drive asset reliability, minimize downtime, and improve overall equipment effectiveness (OEE).
MAJOR DUTIES/ RESPONSIBILITIES:
- Oversee the translation of asset maintenance needs into actionable plans, ensuring that maintenance strategies are effectively implemented to meet service levels
- Responsible for the management and direction of direct reports including compliance with policies and procedures, attendance, performance management, training, and professional development
- Oversee the effective and efficient use of the Enterprise Asset Management (EAM) System for tracking all assets and maintenance activities
- Develop and implement strategies for preventive, predictive, and corrective maintenance planning.
- Review and approve work plans ensuring they are detailed, accurate, and achievable.
- Ensure all maintenance activities comply with safety, environmental, and regulatory standards.
- Ensure that preventative maintenance plans and inspections are properly scheduled and performed.
- Ensure maintenance plans align with compliance standards and contribute to the efficient operation of the department.
- Develop equipment (asset) based job plans, which include walking down job to identify work requirements and hazards.
- Develop work packages, including work scope, safety information, job plans and contractor support.
- Collaborate with and understand the multi-craft support needed to complete the work.
- Lead scheduled finalization meetings with maintenance planners.
- Co-ordinate with contractors ahead of work start and work with other staff and departments as required.
- Review plans where the maintenance planner estimates exceed $5000 and confirm authorization with management where planner estimates exceed $10,000.
- Detect any inconsistencies, errors or outdated information within the EAM system that could impact maintenance operations or decision making
- Provide updates to management on the state of the systems accuracy, recommending corrective actions or process changes.
- Work collaboratively with the division Asset Analyst to monitor KPIs for maintenance planning and scheduling effectiveness.
- Lead the integration and optimization of EAM/CMMS systems (e.g., SAP PM, Maximo, Infor EAM) to streamline planning and reporting processes.
- Ensure accurate data entry, tracking and analysis of maintenance activities and asset performance.
- Work with the Asset Management Office (AMO), participate in the development and updating of Asset Management Plans and Capital Plan submissions
- College diploma in Engineering, Business Administration, Information Technology or related field
- Certified Technician, or Certified Engineering Technician is preferred
- Minimum 3 years’ supervisory experience
- 5+ years of experience in industrial or transportation field with planner/scheduler, and maintenance experience
- 3+ years’ experience in maintenance, repair and operating materials (MRO) and inventory management
- Proficient in Microsoft 365 with advanced Excel skills
- Experience working with Computerized Maintenance Management Systems (CMMS), Track Inspection Software and HxGN EAM software
- Proven experience utilizing work management process to plan and schedule maintenance work
- Strong project management skills
- Excellent communication skills with the ability to articulate and present results
- Excellent time management and organizational skills
- Ability to identify and prioritize multiple projects and perform work with a constant awareness of improving processes
- Valid G driver’s licence as some travel is required
