ACCOUNTABILITY STATEMENT:
The Supervisor, Maintenance Planning for the Facilities Department is accountable for leading the planning and scheduling team to ensure the effective execution of maintenance activities in alignment with Enterprise Asset Management (EAM) strategies. This role is responsible for optimizing preventive and corrective maintenance workflows across building systems and infrastructure, ensuring efficient resource allocation, timely task execution, and minimal disruption to operations. The Supervisor collaborates closely with operations, maintenance personnel, and stakeholders to enhance asset reliability, reduce downtime, and improve overall equipment effectiveness (OEE), contributing directly to the operational excellence and safety of the organization’s physical environment.

MAJOR DUTIES/ RESPONSIBILITIES:
- Oversee the translation of asset maintenance needs into actionable plans, ensuring that maintenance strategies are effectively implemented to meet service levels.
- Responsible to supervise and mentor Planners which includes performance management, training, and professional development
- Oversee the effective and efficient use of the Enterprise Asset Management (EAM) System for tracking and scheduling all assets and maintenance activities.
- Develop and implement preventive, predictive, and corrective maintenance strategies while driving continuous improvement initiatives to enhance planning efficiency and reliability.
- Ensure all maintenance activities comply with safety, environmental, and regulatory standards.
- Develop equipment-based job plans by walking down jobs to identify work requirements and hazards, and create comprehensive work packages that include work scope, safety information, job plans, and contractor support
- Lead finalization meetings with maintenance planners and coordinate pre-work activities with contractors, staff, and other departments to ensure seamless execution.
- Support root cause analysis (RCA) and failure mode effects analysis (FMEA) to address recurring issues.
- Develop and maintain master PM/non-regulatory PM template/schedule for level loading of work.
- Ensure accurate data entry, tracking, and analysis of maintenance activities and asset performance, while identifying and resolving inconsistencies in the EAM system that could affect operations or decision-making.
- Provide management with updates on system accuracy and offer insights into asset performance and maintenance needs to support informed decision-making and recommend process improvements.
- Work collaboratively with the division Asset Analyst to monitor KPIs for maintenance planning and scheduling effectiveness.
- Lead the integration and optimization of EAM/CMMS systems (e.g., SAP PM, Maximo, Infor EAM) to streamline planning and reporting processes.
- Collaborate with the Asset Management Office to develop and update Asset Management Plans and Capital Plan submissions, contributing to the strategic planning of the organization
REQUIREMENTS:
- College diploma in Facilities Management, Mechanical or Electrical Engineering Technology, Building Systems Technology, Industrial Maintenance or Operations Management
- Maintenance Management Professional designation or Certified Maintenance and Reliability Professional/Technician is a definite plus
- 5+ years of experience in maintenance planning, preferably within facilities or industrial environments
- At least 3 years of maintenance, repair and operations (MRO) and inventory management experience
- 3 to 5 years’ supervisory experience, preferably in a unionized environment
- Hands-on experience or formal training in HxGN EAM software and Computerized Maintenance Management Systems (CMMS)
- Proven track record of implementing process improvements to enhance efficiency and asset reliability.
- Excellent communication skills with the ability to articulate and present results
- Strong planning and time management to coordinate multiple tasks and schedules
- Analytical mindset to identify root causes and implement effective solutions
- Exceptional interpersonal relationship skills with ability to build partnerships across and between functional groups
