ACCOUNTABILITY STATEMENT:
The Maintenance Planner is accountable for translating asset maintenance needs into detailed, executable plans using the Enterprise Asset Management (EAM) system, ensuring timely and efficient maintenance execution. This role coordinates with internal teams and capital projects, maintains preventive maintenance schedules, and drives continuous improvement to align asset performance with organizational goals.

The Maintenance Planner is accountable for translating asset maintenance needs into detailed, executable plans using the Enterprise Asset Management (EAM) system, ensuring timely and efficient maintenance execution. This role coordinates with internal teams and capital projects, maintains preventive maintenance schedules, and drives continuous improvement to align asset performance with organizational goals.
MAJOR DUTIES/ RESPONSIBILITIES:
- Translate asset maintenance needs into executable plans, ensuring appropriate strategies are in place to meet departmental service levels.
- Lead the implementation and communication of new or revised maintenance strategies, including decisions on changes to regimes such as preventive maintenance.
- Maintain a high level of competency in the EAM system across key modules (asset management, work management, inventory, etc.), ensuring accurate setup and maintenance of preventive maintenance plans, including time-based, condition-based, and predictive strategies.
- Ensure maintenance plans are established and entered in the EAM system for newly acquired assets and support asset investment planning through strategic maintenance inputs.
- Monitor asset performance and enact strategy changes to close performance gaps, including initiating maintenance reviews and benchmarking activities.
- Identify and resolve asset maintenance data gaps (e.g., checklist errors), and ensure standard activities and checklists are maintained in the EAM system.
- Forecast and monitor upcoming pre-planned work, ensuring work orders are properly generated, processed, and scheduled.
- Review and plan work orders requiring detailed job planning (labour, parts, activities), and progress them through planning and scheduling stages as needed.
- Perform scheduling activities based on available support within the business unit.
- Coordinate with Supervisors to ensure accurate documentation of emergency work orders and gather feedback to update maintenance plans.
- Identify and plan required parts for work orders and support decisions related to deferred maintenance and backlog management.
- Provide input for business cases and funding requests, and participate in the development and updating of Asset Management Plans and Capital Plan submissions.
REQUIREMENTS:
- Secondary School Diploma or General Educational Diploma (GED)
- Post-secondary education in Facilities Management, Mechanical or Electrical Engineering Technology, Building Systems Technology, Industrial Maintenance or Operations Management preferred
- Minimum of 5 years’ experience in a facilities management, industrial maintenance, or operations environment with direct involvement in maintenance planning and execution
- Proven experience in maintenance management practices, including continuous improvement initiatives, asset performance monitoring, and the development of maintenance strategies
- Extensive hands-on experience with Enterprise Asset Management (EAM) or Computerized Maintenance Management Systems (CMMS), including preventative maintenance set up, job scoping, planning, and scheduling
- Strong understanding of reliability and asset integrity principles, including experience with Reliability Centered Maintenance (RCM) methodologies
- Excellent communication skills with the ability to influence front-line and technical staff, effectively translating maintenance changes into clear, actionable guidance for operational teams
- Capable of managing multiple priorities, schedules, and deadlines with attention to detail
- Works effectively with maintenance teams, supervisors, and other departments to ensure seamless coordination
