ACCOUNTABILITY STATEMENT:
The Operations Support Assistant is responsible for administrative support to the department/management team to alleviate the increasing demand for document tracking, reporting and training. This role focuses on maintaining efficient operations, timely communication, and a safe, organized workplace.

MAJOR DUTIES/ RESPONSIBILITIES
  • File and track pre-use inspections, annual certifications and related documents for shop equipment.
  •  Assist in the preparation, revision and maintenance of Job Safety Analysis, Safe Operating Procedures.
  •  Schedule, arrange, track and review training for staff.
  • Assist with Apprentice Committee related initiatives such as organizing, creating of meeting minutes and booking of accommodations for apprentices participating in school out of town.
  • Ensure all PPE is available for staff.
  • Support management team with Intelex as required. 
  • Assist with Human Resource and Health & Safety initiatives as required including organizing meeting and attending interviews/investigations.
  • Participate in the onboarding of new staff such as arranging lockers, uniforms, and other applicable items.
  • Scheduling and maintenance of overtime and vacation information.
  • Assist with daily monitoring and amendments to all clocking in/out of Kronos system.
  • Assist with creating Self-Serve Staff Forms for sickness, departmental changes, salary increases, apprentice rate progressions, terminations, various leaves to ensure records are up to date.
  •  Extract operational statistics and reports from Kronos as required.
  • Maintain employee call lists for staff within department.
  • Provide operational updates or troubleshooting rectification notices to all staff and employees by email or bulletin board notices.
  • Prepare reports related to staff/budget entries.
  • Find efficiencies and improvements within scope of responsibility.
  • Perform special assignments as required including first aid minor injury follow ups with employees and other duties as required.
  • Order supplies as needed.
  • Provide support for locomotive maintenance. 
  • Provide administrative support to management as required.
REQUIREMENTS:
  • Secondary School Diploma or General Educational Diploma (GED)
  • 2 to 3 years of recent experience of office management including payroll, database and records management
  • Experience using payroll systems, AS400, Sequel, Kronos or other query-based computer software
  •  Ability to teach others new software 
  • Experience in database management, downloading and manipulating data
  • Advanced knowledge of Microsoft Office Suite
  • Experience interpreting collective agreement language
  • Attention to detail and strong analytical skills
  • Ability to meet strict deadlines
  • Excellent communication skills including effective listening
  • Coordination, organization and leadership skills
  • Commitment to health and safety
