ACCOUNTABILITY STATEMENT:
The Project Coordinator EAM is accountable for supporting the successful planning, execution and completion of major projects associated with EAM operations. The Project Coordinators are heavy users of the EAM (Enterprise Asset Management) system and will work closely with the Capital Project Managers and Maintenance Planners to ensure accurate project coordination, work order tracking, costing, data management, and communication to support functional divisions.

The Project Coordinator EAM is accountable for supporting the successful planning, execution and completion of major projects associated with EAM operations. The Project Coordinators are heavy users of the EAM (Enterprise Asset Management) system and will work closely with the Capital Project Managers and Maintenance Planners to ensure accurate project coordination, work order tracking, costing, data management, and communication to support functional divisions.
MAJOR DUTIES/ RESPONSIBILITIES:
- Participate in the RFP process for new procurement as required
- Participate and coordinate decommissioning and review of end-of-life retirement for assets
- Coordinate inspections of new equipment prior to delivery to ensure compliance with specifications outlined in RFP
- Ensure asset information is shared with Asset Analyst for registration into Hexagon/ARI
- Create projects using the EAM system to track work execution and supply chain management activities
- Participate in the development and update of Asset Management Plans and Capital Plan submissions when requested
- Support asset investment planning and forecasting by providing input on maintenance strategies
- Assist in the development and refinement of project plans, ensuring that they align with company goals and objectives, and help in identifying required resources and potential risks
- Assist in the monitoring of capital project budgets and track expenditures using EAM
- Monitor project budgets, track expenditures, and provide regular financial reports to ensure projects remain within allocated funds and financial compliance
- Monitor purchase orders, invoices, and vendor payments related to asset management projects
- Keep accurate records of office activities, including filing documents, managing databases, and updating records
- Serve as a liaison between project teams, internal departments, and external stakeholders, facilitating clear and effective communication to keep all parties informed and engaged
- Coordinate annual overhauls with OEM
- Manage and maintain project schedules, including coordinating meetings, deadlines, and milestones to ensure timely progression and completion of project activities.
- Prepare regular progress reports and presentations for senior management and stakeholders
- Coordinate with the Maintenance Planner the allocation and utilization of resources, including personnel, equipment, and materials, to maximize efficiency and meet project needs
- Analyze asset data to support decision-making and continuous improvement
- Prepare dashboards and KPIs for project performance tracking
- College diploma or degree in Business Administration, Project Management, Civil, Mechanical or Electrical Engineering, Information Technology or a related field
- 2-3 years’ experience in asset management which includes monitoring and assessing asset related performance and presenting corrective remedies and plans
- Experience in data entry, reporting, and document management in an EAM system
- Background in an industrial manufacturing/maintenance shop, or operational environment in a data management intensive role is an asset
- Certified Project Management Professional (PMP), Certified Asset Management Professional (CAMP) or Computerized Maintenance Management Systems (CMMS) certification is preferred
- Experience with asset management software like SAP PM, IBM Maximo, HxGN EAM, or Oracle EAM
- Use of SAP, Oracle Financials, or other accounting/budgeting systems for tracking capital expenditures
- Experience with Lean Six Sigma, or business process automation to improve asset management efficiency
- Proficiency in Microsoft Project, Smartsheet, Primavera P6, or other project tracking tools
- Ability to create project presentations and status reports
- Power BI / Tableau experience is preferred for data visualization and KPI tracking
- Ability to input, track, and analyze asset data, work orders, and project progress
- Proficient in Microsoft 365 with advanced Excel skills
- Familiarity with industry regulations, safety standards, and risk mitigation strategies
- Ability to work independently and in a team environment and effectively collaborate
- Exceptional communication skills with the ability to articulate and present results
- Excellent coordination & planning skills with the ability to adapt to shifting priorities
- Self-directed with strong problem solving and analytical skills
